FluentSeed is an online English school for children, and protecting your family's information matters to us. This policy explains what we collect, why, who we share it with, and the choices you have as a parent or guardian.
1. Who we are
FluentSeed ("we", "us") provides live, 1-on-1 online English lessons for children aged 4-16, taught by certified Filipino teachers. This policy covers our website and the lessons and services we provide through it. If you have any questions, contact us at hello@fluentseed.com.
2. Information we collect
Information you give us. When you book a free trial, contact us, or sign up for lessons, you may provide: the parent's name, the child's name and age, email address, phone or WhatsApp number, the child's current English level and learning goals, preferred lesson times, the plan you're interested in, and anything you write in a message to us.
Payment information. If you subscribe to a paid plan, payment is handled by a secure third-party payment provider. We do not store your full card number on our own servers.
Lesson information. To run lessons we keep records such as lessons booked and taken, teacher assignments, progress notes and assessment reports, and (where applicable) lesson recordings - see section 5.
Information collected automatically. Like most websites, we may collect basic technical and usage data - such as your device type, browser, approximate location and the pages you visit - to keep the site secure and working well.
3. How we use your information
- To arrange and deliver your child's free trial and lessons, and to match them with a suitable teacher.
- To send progress reports, assessments, scheduling updates and other service messages.
- To respond to your enquiries and provide parent support.
- To process payments and manage your plan.
- To keep our service safe and reliable, and to improve it.
- To meet legal obligations and protect the safety of children on our platform.
4. Children's privacy
We take children's privacy seriously and aim to follow the laws that apply to children's data, such as COPPA in the United States and the additional protections for children under the GDPR in Europe. We do not knowingly collect personal information directly from a child without a parent's or guardian's involvement and consent. The information we hold about a child is provided by, and managed through, their parent or guardian. If you believe a child's information has been collected without proper consent, contact us and we will delete it.
5. Lesson recordings
Lessons may be recorded so that parents can review them and so we can support teaching quality and child safety. Recordings can include your child's image and voice. Where we record lessons, we do so with parental awareness, store the recordings securely, limit who can access them, and keep them only as long as needed for the purposes above. Let us know if you have any questions or preferences about recordings for your child.
6. How we share information
We do not sell your personal information. We share it only as needed to run FluentSeed:
- Teachers - the certified teacher assigned to your child receives the information needed to teach effectively.
- Service providers - trusted companies that help us operate, such as our website hosting, email delivery and payment processing providers, who may only use the information to provide their service to us.
- Legal and safety - where required by law, or to protect the rights, safety and security of children, our users or FluentSeed.
- Business transfers - if FluentSeed is involved in a merger, acquisition or sale, information may be transferred as part of that transaction.
7. Cookies and analytics
We use a small number of cookies and similar technologies to keep the site working and to understand how it is used so we can improve it. You can control or delete cookies through your browser settings; blocking some cookies may affect how parts of the site work.
8. International data transfers
Our teachers are based in the Philippines and we serve families in many countries, so your information may be processed in a country other than your own. Where that happens, we take steps to keep your information protected in line with this policy.
9. How long we keep your information
We keep personal information only as long as we need it - to provide lessons, support your account, meet legal and accounting obligations, and resolve disputes. When we no longer need it, we delete it or anonymise it. You can ask us to delete your family's information at any time (see section 11).
10. How we protect your information
We use reasonable technical and organisational measures to protect personal information, including encrypted (HTTPS) connections, access controls, and secure password storage for accounts. No method of transmission or storage is completely secure, but we work to safeguard your information and to respond promptly if a problem arises.
11. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or export your information, to object to or restrict certain uses, and to withdraw consent. As a parent or guardian, you can exercise these rights on behalf of your child. To make a request, email us at hello@fluentseed.com and we'll help. You may also have the right to complain to your local data protection authority.
12. Marketing
We may send you helpful updates and offers related to FluentSeed. You can opt out of marketing messages at any time using the unsubscribe link in our emails or by contacting us - this won't affect important service messages about your child's lessons.
13. Links to other websites
Our site may link to other websites we don't control. This policy doesn't apply to those sites, so please review their own privacy policies.
14. Changes to this policy
We may update this policy from time to time. When we do, we'll change the "last updated" date at the top of this page, and we'll let you know of significant changes where appropriate.
